Colleges with several intakes a year need one admissions workflow that every intake follows: capture every enquiry, follow up on a schedule, take applications with documents, decide quickly, and turn admitted applicants into enrolled students with their first invoice. Give each stage an owner, plan each intake on a calendar, and measure which channels bring students who actually enrol.
Why multiple intakes get messy
With January, May and September intakes, enquiries for different intakes arrive at the same time. A prospect who enquires in March may want May or September. Without one system, follow-ups slip, applicants are asked for the same documents twice, and nobody knows how many places are left in each class.
The stages of the workflow
- Capture. Every enquiry, whether WhatsApp, phone, walk-in, website or event, is recorded with the course and intake of interest and where it came from.
- Follow up. Each enquiry gets an owner and a next follow-up date. Follow-ups happen within a day, then on a schedule.
- Apply. The prospect applies online or at the front desk, choosing the course and intake, and uploads documents.
- Review. Admissions checks documents and entry requirements, and requests anything missing.
- Decide. Approve, hold or reject, with a clear reason.
- Admit and enrol. The student gets an admission number, a class, their first invoice and an admission letter.
Give every stage an owner
- Marketing owns capture and knows which channels are working.
- Admissions officers own follow-up and application reviews.
- The registrar owns decisions and admission.
- Finance owns the first invoice and payment.
Write the expected response time next to each stage, for example "every new enquiry contacted within one working day", and review it weekly.
Plan each intake on a calendar
For each intake, set:
- When applications open and close.
- The latest date for decisions.
- The reporting date for new students.
- The number of places per course, so you know when a class is full.
Work backwards from the reporting date. If decisions take a week and students need two weeks to pay and prepare, applications must close at least three weeks before reporting.
Measure what works
Track a few numbers for each intake:
- Enquiries per source (Facebook, WhatsApp, referrals, walk-ins).
- How many enquiries become applications, and how many applications become enrolled students.
- Reasons prospects did not join, such as fees, timing or choosing another college.
A source that brings many enquiries but few enrolments is costing you staff time. Spend more where students actually enrol. Soma360's admissions funnel and lead source reports show these figures for each period.
