M-PESA fee reconciliation works when every payer uses the student's admission number as the account number, payments are matched to students automatically, the few that do not match are allocated the same day, mistakes are reversed with a reason rather than deleted, and the totals are checked against your M-PESA statement at month end.
Why M-PESA reconciliation goes wrong
Most problems come from the same few causes:
- Parents type a name, an ID number or "FEES" instead of the admission number.
- Payments are copied from the M-PESA statement into a spreadsheet by hand, days later.
- One parent pays for two siblings in a single transaction.
- A payment is recorded against the wrong student and then "fixed" by editing or deleting it, leaving no trail.
Fix the account number
The single most effective step is making the admission number the account number, everywhere:
- Print it on admission letters, invoices and fee statements, next to your paybill number.
- Include it in every fee reminder SMS: "Pay via paybill 123456, account DCH/0001/26".
- Show it in the student portal next to the balance.
The daily routine
- Payments with a correct account number are recorded and receipted automatically as they arrive.
- Once a day, a finance officer opens the list of unmatched payments.
- Each unmatched payment is allocated to the right student (see below).
- The day's M-PESA total in your records is compared with the paybill or till total.
Handling unmatched payments
When the account number does not match a student, never guess. Use the details you have:
- Phone number: compare it with student and guardian phone numbers.
- Payer name: often the parent's name, which you can check against guardian details.
- Amount: a payment equal to a known invoice is a strong clue.
If you still cannot tell, call the payer back on the number in the M-PESA record. For one payment covering two siblings, split it between the two students' accounts as the parent instructs, and ask them to pay separately next time.
Correcting mistakes
Never delete a payment. If one was recorded against the wrong student, reverse it with a reason, which leaves a record of what happened, and then record it correctly. Refunding money to a payer is done through your M-PESA account with Safaricom, and should be recorded in your fee records too.
Month-end checks
- Compare the month's M-PESA collections in your records with your paybill or till statement.
- Make sure the unmatched list is empty, or that every remaining item is being followed up.
- Review reversals for the month and their reasons.
- Run a collections report by method and an outstanding balances report for management.
With automatic matching, month end becomes a check rather than a week of data entry. See how Soma360's M-PESA integration and fee management work together.
